BUILT AROUND YOUR SITE
Plan the calls first. Choose the phones around them.
Reception, office teams and hotel rooms need different call-handling arrangements. We plan IP phones, extensions and the phone platform around those daily tasks, then check the network, power and provider requirements. An IP-PBX is the system that manages extensions and routes their calls.

Phones suited to their users
Choose room, desk and reception handsets around the controls people need, with exact model and platform compatibility checked before ordering.
A clear call plan
Agree extensions, transfers, ringing arrangements and calling permissions so the system follows how the team handles calls.
Connected and handed over
Include network and power requirements, demonstrate the agreed call paths and identify who manages the platform and provider account.
UNDERSTAND THE PARTS
How the system comes together.
Choose a part to understand its role. These are system roles, rather than an installation wiring plan.
Phones & users
Match each handset to its role. Confirm buttons, power and provisioning—the supported method for applying its settings—against the exact phone model.
Local network
Phones need suitable connections and power. Check switch PoE requirements where used, network access rules and the installation's required continuity arrangements.
PBX & extensions
The selected local or hosted phone platform controls extensions and the agreed call functions. Check its licences, supported devices and administration responsibilities.
External call provider
External calls depend on the selected provider and service. Confirm number arrangements, routing and emergency-calling requirements separately from internal extension calls.
Where are you starting?
Choose the situation closest to yours. The details help us plan the right next step.
Make answering and transferring straightforward.
Walk through a normal incoming call, a busy reception desk and an unanswered extension. Use those tasks to define the phones, ringing behaviour and call permissions.
- Who answers the main number?
- How should calls reach other teams?
- What happens outside working hours?
Plan room and reception calling together.
List rooms, staff extensions and reception functions. Any hotel-management integration or room-specific feature needs its own compatibility check with the chosen phone platform.
- Which room-to-reception functions are required?
- Are external calls permitted from rooms?
- Is a specific hotel integration needed?
Keep suitable parts of the existing system.
Send exact handset and PBX references before buying additions. A successful basic call does not prove that automatic setup, directories or all advanced buttons will work.
- What PBX version and licences are installed?
- Which handset functions must be retained?
- Can the existing network power the phones?
DECISIONS THAT SHAPE THE WORK
Settle the important questions early.
A local or hosted phone platform?
Compare administration, provider options, connectivity and continuity requirements. The right choice depends on how the business operates and who will maintain the selected arrangement.
Which phones work with it?
Check the platform's supported model and firmware information for provisioning and required features. Generic SIP support does not establish every directory, transfer, button or integration function.
Which calls must continue during an outage?
Local extension calls and provider-routed external calls have different dependencies. Review the PBX location, network, power and provider service before making a continuity promise.
AN AGREED SCOPE
Know what you will receive.
- A phone, user and extension schedule.
- The agreed ringing, call-routing and permission arrangement.
- Checks of included internal, external and reception functions.
- Platform access handover and named provider/licence dependencies.
The quotation confirms the equipment, work, exclusions and handover for your project.

Questions before you start.
Can we buy phones without replacing the PBX?
Yes, if the selected models and required functions are compatible. Share the existing platform version, handset models and quantities so those checks happen before the quotation is confirmed.
Can different phone brands share a system?
They may, but compatibility is assessed by exact model, firmware and required task. Check provisioning and operator features as well as whether a basic call can be made.
Are numbers and calling subscriptions included?
The proposal identifies what is supplied and which provider services remain separate. Number arrangements, external-call subscriptions and emergency calling need confirmation with the chosen provider.
