Equipment planning

A business network budget beyond the hardware price

Compare installation work, management costs, support and handover alongside the equipment list before choosing a business network quotation.

Two network quotations can list the same number of switches and access points yet cover very different work. One may include cable testing, configuration and a documented handover. The other may stop at delivery. Before choosing the lower total, find out what you will receive and who will keep it working.

Separate the purchase from the running costs

Build the budget around the finished installation. Equipment is one part; the time and materials needed to make it useful belong in the same conversation.

  • One-off work: survey, cabling, fibre termination, rack accessories, installation, configuration, testing and user handover.
  • Ongoing commitments: any selected subscriptions, hosted management, support, backup arrangements and responsibility for updates.
  • Future changes: additional users, replacement devices, new rooms and the work needed to extend the original installation.

Ask which items are included, optional or excluded. Where the site has not been inspected, record the assumptions and what would trigger a revised price. An allowance for an unknown cable route should remain visible.

When comparing offers, ask each provider to price against the same quantities and tasks. If one includes a rack, power protection and patching while another assumes you already have them, resolve the difference before comparing totals. Also identify who removes old equipment and how any work outside normal hours will be handled.

Read the management arrangement carefully

“Cloud managed” does not tell you whether a subscription or a local host is required. Ruijie states that lifetime-free cloud service covers basic features on supported cloud-managed devices, while reserving the possibility of charges for advanced features and changes to service scope. Check the selected range and current terms in its Ruijie Cloud description.

UniFi has several management arrangements. Its Site Manager is license-free; a compatible local console or self-hosted installation is different from optional paid Official UniFi Hosting. Ubiquiti also describes UniFi OS Server as license-free, with installation, maintenance and uptime the operator’s responsibility.

A free licence can still involve hardware, electricity, backups and an engineer’s time. Conversely, a hosted subscription may cover work you prefer someone else to handle. Compare the arrangement you will actually use. Our Ruijie/Reyee and UniFi guide explains that decision in more detail.

Compare complete model references

Keep the full product code, including suffixes, in every quotation. Check port speeds, power supplies, mounting accessories and the features needed for your site. A family name alone is too broad to approve a substitution.

For powered cameras, phones and access points, count both connections and power requirements. A larger port count does not settle whether the proposed devices can all be powered. Use our PoE port-count and power-budget checklist when reviewing that part of the equipment list.

Budget for the day something changes

Agree how a failed switch or access point would be replaced: who diagnoses it, where a replacement comes from and whether a spare is worthwhile for your operation. Confirm delivery expectations for the actual order. A warranty process and a same-day replacement arrangement answer different needs.

Include a labelled port schedule, network diagram, configuration backups and an equipment register in the handover scope. Identify the customer-controlled account, authorised installer access and recovery contact. Ownership arrangements differ by platform and host; Ubiquiti’s ownership-transfer guidance illustrates why this should be agreed before installation.

For ongoing support, ask what starts a charge: a scheduled visit, a fault report or time spent on site. Record the agreed response arrangement and its exclusions. This makes it easier to choose a service level that matches your operation and to understand a later invoice.

At CamNetix, we would rather resolve these questions while the project is still on paper. Send us your requirements or existing quotation, including what must stay in service and what you expect to add later. We can then discuss equipment and work against the same brief.
